Business Development Coordinator

Job description

Location: Washington, DC preferred; remote considered
Type: Full-Time, Salaried

What You’ll Do 🔍

Athena Actuarial Consulting is a growing, mission-driven professional services firm serving federal, state, and local government clients, as well as select commercial clients. As our business development efforts continue to expand, we are hiring a Business Development Coordinator to support and strengthen our BD operations. This is a unique opportunity to wear multiple hats across our business development department in support of sales and proposals.

Reporting to the Chief Strategy Officer (CSO), this role is focused on execution, coordination, and continuous improvement across leads, proposals, pipeline, and pursuit operations. You’ll support pre-capture activities, support pursuits, manage our CRM in coordination with marketing colleagues, and work with internal leaders and external partners across our BD processes.

Whether you're building a pitch deck, managing a proposal deadline, or collaborating with our marketing team on a marketing campaign, this role is ideal for someone who thrives in a fast-paced environment, brings structure to complexity, thinks critically, and is energized by meaningful, collaborative work.

Key Responsibilities

Proposal & Pursuit Coordination

  • Manage proposal timelines, calendars, and submission logistics across pursuits (e.g. templates, formatting, content assembly)

  • Coordinate with cross-functional contributors to assist with timely and high-quality submissions

  • Draft and assemble proposal content (coordinating with SME writers), coordinate reviews, and manage version control

  • Maintain and improve proposal templates, content libraries, and past performance materials

  • Support pursuits involving GSA Schedule usage and applications (including OASIS+) as needed

CRM, Pipeline & Follow-Up Management

  • Maintain the firm’s CRM system, ensuring opportunities, contacts, and pursuits are accurate and current

  • Track lead and pipeline activity, next steps, and follow-ups to ensure consistent execution

  • Prepare pipeline and pursuit reporting for leadership review

  • Support account follow-ups and pursuit metrics tracking

  • Review various proposal subscriptions for future and active bids

BD Operations Support

  • Support the CSO with day-to-day business development and sales operations

  • Assist in preparing pitch decks, pursuit materials, and scheduling client meetings

  • Identify opportunities to streamline BD processes and improve tools, templates, and workflows

  • Help implement and reinforce consistent BD practices as the department grows

  • Adjust priorities as needed to support both long-term goals and quick-turn opportunities

  • Coordinate with CSO and marketing team on campaigns and activities as needed

What We’re Looking For ✅

Required

  • 3–5 years of experience in business development coordination, proposal operations, sales operations, or similar roles

  • Experience supporting complex proposals, preferably in public-sector or professional services environments

  • Hands-on experience with CRM systems (HubSpot, Salesforce, or similar)

  • Strong organizational and project management skills with attention to detail

  • Ability to manage multiple deadlines and shifting priorities

  • Clear written and verbal communication skills

  • Proactive mindset with the ability to suggest improvements and operate independently

  • Comfort working in a small, growing organization

  • Confidence engaging with external partners, executives, and potential clients

  • Self-starter who thrives in ambiguity and adapts quickly to changing priorities

  • Ability to work independently

  • Demonstrated alignment with Athena’s mission and collaborative values

Nice to Have

  • Experience in government contracting

  • Experience at a professional services firm (of any size)

  • Familiarity with GSA Schedules, OASIS+, or similar contract vehicles

  • Experience supporting healthcare, Medicaid, pension, or other benefit programs

  • Familiarity with proposal processes and persuasive writing for public sector clients

  • Bachelor’s degree preferred; Associate’s degree accepted. Candidates with relevant experience who do not hold a degree are also encouraged to apply
